Job Summary:
The Practice Manager at our busy multi-clinician podiatry practice in Bathurst will be responsible for overseeing the daily operations, ensuring efficient and smooth workflow, and managing administrative and financial tasks. This role requires a proactive leader who can balance clinical demands with operational needs, fostering a supportive and positive environment for clinicians, staff, and patients alike.
Key Responsibilities:
1. Operational Management

Oversee daily practice operations, ensuring the clinic runs smoothly and efficiently reporting directly to the director.

Coordinate schedules for clinicians, receptionists, and support staff to optimise patient flow.

Implement and maintain standard operating procedures for clinical, administrative, and health and safety practices.

Oversee and administer stock control for both clinical use and retail sales.
2. Financial Management

Monitor practice financial performance, including budgeting, revenue tracking, stock ordering and expense management.

Reconciling all financial activity through Xero accounting software.

Manage billing processes, including Medicare, private health insurance, and third-party billing.

Ensure prompt payment of all clinic outgoings, excluding salaries.
3. Staff Supervision and Development

Lead recruitment, training, and performance management for administrative and clinical support staff.

Provide regular staff training sessions on practice protocols, patient handling, and compliance.

Support clinician onboarding and ensure all staff adhere to the practice’s high standards of patient care.
4. Patient Experience and Customer Service

Manage the patient intake and scheduling processes, aiming to optimise patient satisfaction and clinician productivity.

Address patient inquiries, feedback, and complaints promptly and professionally.

Oversee the maintenance of accurate patient records and ensure patient confidentiality.
5. Compliance and Risk Management
-
Ensure compliance with healthcare regulations, privacy standards, and workplace health and safety.

Maintain updated knowledge of industry standards, including Medicare, Department of Veteran Affairs and National Disability Insurance Scheme (NDIS) requirements.

Conduct regular audits of clinical and administrative processes to minimize risks and maintain high-quality care standards.
6. Technology and Process Improvement

Implement and maintain electronic health records (EHR) systems and practice management software.

Identify and introduce new technologies or processes that improve operational efficiency and enhance patient care.

Work with clinicians to ensure that equipment and supplies are well-maintained and stocked.
Key Skills and Qualifications:
● Experience: Minimum of 3-5 years in healthcare practice management, preferably within podiatry or allied health.
● Education: Qualifications in healthcare management, business administration, or a related field are preferred.
● Technical Skills: Proficiency in practice management software, EHR systems, and financial management software. Basic knowledge of IT and possess troubleshooting skills and a willingness to resolve basic technology problems.
● Interpersonal Skills: Strong leadership abilities with excellent communication and customer service skills.
● Organisational Skills: High attention to detail and the ability to multitask in a fast-paced environment.
● Problem-Solving: Ability to quickly resolve issues and optimise workflows for better patient and clinician experiences.
